*Basic Job Responsabilities:*
Input and maintenance of all Caterease data for all events including inquiries, tentative and definite. Includes customer contacts, event details, food, beverage, setup, service, directions, financials and event status.
Detailing function sheets with equipment needs and rental orders.
Confirming details with various departments as necessary.
Creation of captain’s packets for each event including function sheets, equipment pulls, beverage pulls, signage, etc. as needed. Assuring that captains are in receipt of packet via email.
Creation of buffet signage and printed menus as required for each event.
Preparing or sourcing event layouts using AllSeated.
Placing all necessary vendor orders such as walkie-talkies, kosher meals, etc.
Preparing and placing rental orders including updates on guest count and needs
Assembly and upkeep of organized event files including all correspondence, orders, invoices, payments, proposals, function sheets, etc.
Processing of certificate of insurance requests.
Updating function sheet and all departments with event guarantee.
Essential Duties and Responsibilities:
Inquiry intake including all pertinent event information client contact, date, time, format, number of guests, location, etc.
Preparation of proposals for events to be reviewed by Director prior to submittal
Support sales initiatives through research, marketing interface, communications and sourcing.
Receipt and processing of all deposits
Review of Pre-event PNL financial entry to assure accurately forecasted.
Update event files with all receipts
Prepare weekly catering packet with all event paperwork (function sheets, beverage requisitions, etc) for distribution to all unit managers
Prepare monthly union staffing calendar and submit to Unit Administrator
Attend weekly operations/production meetings.
Communicate all details of events at meetings assuring that all internal departments have updated and accurate information.
Interface with Operations Director and Managers to communicate event details accurately and complete all function sheets accurately.
Bachelor Degree in hospitality or Marketing preferred
A minimum of 1-year experience in upscale, fine dining or catering and events.
Ability to multi-task in a fast-paced environment.
Must be able to work a flexible schedule as the business demands.
Maintains professional appearance at all times, clean and well-groomed.
Displays a positive and enthusiastic approach to all assignments.
Exhibits a cheerful and helpful manner when dealing with customers.
Stands for long periods of time.
Maintains RA Hospitality Standards
Ability to lift, bend and carry up to 20 lbs.
Excellent Communication skills
Strong knowledge of Microsoft programs: Word, Excel, Outlook
